R-MAP Cross-Regional Dialogues – Participant Information & Privacy Notice

You are invited to participate in an online Cross-Regional Dialogue organised as part of R-MAP project, a research project funded by the European Union under the Horizon Europe Framework Programme for Research and Innovation (Grant Agreement No. 101132497).

R-MAP examines how remote working arrangements are affecting urban and rural areas across Europe, including their spatial, social and economic impacts.

The Cross-Regional Dialogues bring together stakeholders from different metropolitan and regional contexts to exchange experiences, discuss findings from the R-MAP use cases, peer-review selected policy measures, and explore their potential transferability and adaptation to other regional contexts.

Why have I been invited?

You have been invited because your professional role, expertise and/or experience is relevant to remote working, regional or urban development, policymaking, or related issues addressed by the dialogue.

What does participation involve?

Participation involves attending a 90-minute online dialogue via Microsoft Teams. The session will include a short presentation of an R-MAP use case, facilitated discussion, region-to-region exchange, interactive exercises and short polls. You may contribute verbally, through the MS Teams chat and/or through interactive tools such as Miro and polling tools. The dialogue will not be audio- or video-recorded.

Is participation voluntary?

Yes. Participation is entirely voluntary. You may choose not to answer a particular question and may leave the dialogue at any time, without providing a reason and without any disadvantage to you.

You may also request the withdrawal of identifiable personal data by contacting [email protected].

Please note that once dialogue contributions have been aggregated or rendered non-attributable, it may no longer be possible to identify and remove an individual contribution.

Are there any risks or benefits?

No significant risks are anticipated from participating in the dialogue. You will be invited to share your professional perspectives and experiences concerning remote work and regional policy. You should avoid sharing sensitive personal information or confidential information concerning third parties or your organisation.

There is no direct financial or other personal benefit associated with participation. However, participation provides an opportunity to exchange experiences and perspectives with stakeholders from other European regions and contribute to R-MAP’s research and policy work.

What information will be collected?

For registration and organisation of the dialogue, limited personal information may be collected, including:

  • name; (optional)

  • email address;

  • organisation/affiliation; and

  • region or metropolitan area represented.

R-MAP does not intend to collect sensitive personal data through these dialogues, and you are asked not to provide such information during the dialogue. During the dialogue, you may also provide inputs through discussions, MS Teams chat and the interactive tools used during the session.

How will my contributions be used?

Inputs gathered through the Cross-Regional Dialogues will contribute to the analysis and reporting of R-MAP Task 4.4 and associated project outputs. Your contributions will not be attributed to you by name in R-MAP reports or other project outputs. Dialogue findings will be reported in aggregated and/or non-attributable form. The region or metropolitan area represented may be retained where necessary for cross-regional comparison and for analysing the relevance, feasibility and transferability of policy measures across different regional contexts.

How will my personal data be protected and retained?

Personal data collected through registration will be used only for the organisation and management of the Cross-Regional Dialogues and related R-MAP activities, in accordance with applicable EU and national data-protection legislation, including the General Data Protection Regulation (GDPR). Personal data will be handled securely, and access will be restricted to authorised R-MAP personnel involved in the activity, except where access is required by authorised EU bodies or other competent authorities for project monitoring, evaluation or audit purposes. Personal data will be retained only for as long as necessary for the purposes described above and, where applicable under the R-MAP Data Management Plan, for up to five years after the project’s closure, after which they will be deleted or anonymised as appropriate. Personal data will not be used for purposes incompatible with those described in this notice.

What are my data-protection rights?
